Job Description
PURPOSE OF THE POSITION: To provide confidential high-level administrative services to the Management of the Branch.
ACCOUNTABILITY: To the Executive Director
QUALIFICATIONS:
Requirements:
- A minimum of two years of post-secondary education in office administration
- Five years of administrative assistant experience at a high level of responsibility or equivalent combination of education and experience
Skills, Knowledge and Abilities:
- Excellent meeting organization and note taking skills
- Excellent time management skills
- Ability to organize time and prioritize tasks to achieve objectives, demonstrating organization, planning & coordination skills
- Ability to deal tactfully with a diverse group of people internally and externally. Respect and maintain a high level of confidentiality
- Proficient in Microsoft Office programs, including Outlook, Word, Excel
- Excellent computer literacy skills
- Demonstrate initiative when appropriate and is willing to learn new skills
LANGUAGE:
- Proficiency in both official languages, a requirement as per the Branch’s French Language Designation Plan
RESPONSIBILITIES OF THE POSITION:
- Organize and maintain personnel files on all employees
- Maintain log of staff contact information, vehicle information and insurance reimbursement amounts
- Maintain records and coordinate mandatory training of all staff
- Assist with payroll and input of employee information
- Assist with the recruitment process (postings, screening of resumes, reference checks)
- Assist with the orientation of new staff
- Develop and maintain an effective filing system for the Branch (including electronic files), which respects the policies and procedures of the Branch (e.g. confidentiality, legal requirements)
- Develop and maintain Branch’s Intranet Service and Document Library
- Participate in the development and implementation of HR related programs (software & personnel policies)
- Provide confidential administrative services for the Branch
- BOARD OF DIRECTORS:
- Maintain volunteer files on all Board Directors
- Attend Board meetings and act as recording secretary to the Board of Directors and committees as required
- Prepare and send Board of Directors and Branch documents as required
GENERAL:
- Provide timely and informative reports as directed and requested by the Executive Director
- Participate in program development, improvement activities, and staff meetings
- Participate in professional development
- Act as staff relief as required
- Perform other related duties as assigned by the Executive Director or delegate
WORKING CONDITIONS:
- Possess a valid Canadian driver’s license and access to a vehicle(regular travel within the Champlain Region)
- Ability to work flexible hours to meet the needs of the Branch and participate in the “on-call schedule”, some evening and weekend hours required
- Work mainly at a desk using a computer in an office environment
